Position Overview

We're currently seeking an Estimating Coordinator to provide overall technical support to the preconstruction team during the bidding phase. This requires a general knowledge of the fundamentals of construction and a desire to communicate with external subcontractors & vendors in the preparation of bids. The Estimating Coordinator will be an essential contributor to our growth and will be at the heart of our projects, maintaining workflow, organization, and outreach for the preparation of our pursuits.

Position Responsibilities

  • Estimating Coordinators work in partnership with all Estimating team members to manage the technical coordination of the entire bid process.
  • Must be collaborative and passionate about our trade partners and our clients.
  • Ensure strong, consistent communication between trade partners and the Estimating department.
  • Establish a solid rapport with local subcontractors & vendors.
  • Maintain and track all current bid opportunities.
  • Set up new bidding projects, update and distribute information as necessary.
  • Maintain and publish WMBE good faith requirements.
  • Distribute and maintain bid packages using bid solicitation software (I.e. Building Connected/Procore).
  • Engage and track subcontractor/vendor participation status throughout the bidding process.
  • Constant communication between subcontractors via phone and email to ensure accurate submittals.
  • Review specifications and request pricing for specific items as requested by the Estimator.
  • Maintain, submit, and track bidding RFI's.
  • Organize and maintain incoming quotes.
  • Assist in preparing bid forms and other required documents.
  • Prepare post-bid deliverables.
  • Maintain and update subcontractor/vendor database as required
  • Maintain and update subcontractor prequalification portal to ensure safety & capability of our trade partners.
  • Completes Freedom of Information Law (FOIL) requests.
  • Assist other members of the construction group as workload permits.
  • Utilize safe work practices in accordance with federal, state, local, and company standards.
  • Communicate incidents, accidents, near misses, potential hazards, and unsafe working conditions to a supervisor or the Health and Safety Department as soon as identified.

Skills/Education/Experience

  • Minimum of 5+ years' experience in preconstruction administration or a related field.
  • College or university degree.
  • Familiarity with construction plans and specifications.
  • Excellent organizational, communication skills, and a positive phone demeanor.
  • Seeking candidates with acute attention to detail and a strong customer service mindset.
  • Strong proficiency working with Microsoft Excel, Microsoft Teams and experience manipulating pdf's (I.e. Bluebeam)
  • Ability to meet administrative milestones, deadlines and budget.
  • Must be approachable, respectful, friendly and willing to make every effort needed for department members at all times.

Estimated Compensation Range: $55,000 - $71,000/year*

*Actual compensation may vary based on related work experience, geographical location and market conditions, education/training, certifications, and other credentials, as well as applicable knowledge and skills.
